Your notification is the rule that counts. The wording and the specifications can change from one cycle to the next, so compare these values with the notification for your post. KBSnap is an independent tool and is not affiliated with IBPS or SBI.
The declaration text: IBPS and SBI word it differently
Copy the wording exactly from your own notification. The versions we checked are not all the same.
IBPS (PO/MT-XVI and Clerk CSA-XVI notifications, 2026)
“I, __________ (Name of the candidate), hereby declare that all the information submitted by me in the application form is correct, true and valid. I will present the supporting documents as and when required.”
The IBPS RRBs-XV notification uses the same text but says “I will submit the supporting documents” instead of “present”.
SBI (PO and Junior Associates advertisements, 2025)
“I, ______ (Name of the candidate), ______ (Date of Birth) hereby declare that all the information submitted by me in the application form is correct, true and valid. I will present the supporting documents as and when required. The signature, photograph and left thumb impression is of mine.”
The SBI text adds your date of birth and a final sentence about your signature, photograph and thumb impression. Fill in your name as it appears in your application.
How to prepare the declaration image
- Write on plain white, unlined paper with a black pen. Use your normal running handwriting in English, in sentence case, not capitals.
- Keep the block wide and short. 800 × 400 px is twice as wide as it is tall, the same shape as a 10 × 5 cm box. Writing across most of the page width in four or five lines fits that shape well; a tall, narrow block ends up small with white space at the sides.
- Write larger than usual and leave clear gaps between lines. The whole text is shrunk to 400 pixels high, so small, cramped writing can blur together.
- Photograph it flat and in daylight, with the phone directly above the paper so the lines are not slanted and no shadow falls on the page.
- Add the photo here. Auto-crop trims the paper around your writing and cleanup whitens the background. If thin letters fade, lower the clean-up strength.
- Download the JPG at 800 × 400 px and 50–100 KB, then read it on screen once before uploading: every word should be legible.
Use paper rather than the Draw option. The notifications ask for the declaration on white paper with black ink, in your own handwriting.
Reasons a declaration makes the application invalid
The notifications are clear that these problems are not minor:
- Written by somebody else. If the declaration is written by anybody else, the application is considered invalid.
- Written in another language. It must be in English only.
- Capital letters. A handwritten declaration in CAPITAL LETTERS is not accepted.
- Unclear or smudged. IBPS says the application form shall be rejected if the handwritten declaration is unclear or smudged. Preview the upload and re-upload a clearer image before submitting if needed.
- Uploaded in the wrong place. Each image must go in its own field: photo, signature, thumb impression and declaration.
If you cannot write
The notifications allow candidates who cannot write to have the declaration text typed, put their left hand thumb impression below it (if they are not able to sign either), and upload that document to the same specifications.
Why this works in a signature tool
A handwritten declaration is the same kind of image as a signature: dark ink on white paper that has to be cropped, cleaned and fitted to an exact size. The Signature Resizer does exactly that, and this page opens it with the declaration’s numbers already filled in.
- Exact pixels: the output is always 800 × 400 px. Your writing is scaled to fit inside with a small margin, without stretching the letters.
- Both KB limits: the file stays under 100 KB, and if a clean image comes out under 50 KB, padding inside the file brings it up to the minimum. The picture itself doesn’t change.
- Ink options: keep the original ink or switch it to solid black, which helps when a ballpoint looks grey in the photo.
- Format: JPG, as the notifications ask. Avoid the transparent option, which saves a PNG.
